Primary Functions:
The Office Coordinator position will be responsible for handling the front office reception including welcoming and greeting guests, answering incoming calls, distributing incoming/outgoing mail and other clerical duties. This position will ensure office operations run smoothly and great customer experience is delivered to all guests.
Position Responsibilities:
- Greeting customers and visitors to the office, ensuring guests are comfortable and are connected with the correct office personnel.
- Sort and distribute incoming and outgoing mail. Interacts with courier companies. Creates online labels for all shipping needs within the office and ensures all mail supplies are stocked.
- Serves as point person for purchasing of office supplies, building maintenance, and vending services for entire office.
- Occasional meeting coordination including ordering food and conference room set up.
- Inputs data for projects into the Transportation Management System.
- Prepares customer invoices for distribution. This requires management of all associated vendor invoices as well as the customer invoices in the Mercury Gate Transportation Management System.
- Act as the Reverse Logistics liaison with the Accounting & Finance to assist with unbilled receivables, collections, and service provider audits.
- Cross train in other areas of the business to assist other departments as necessary.
Education and/or Experience Qualifications:
- Broad knowledge of such fields as accounting, business administration, finance, etc. required.
- High school diploma or equivalent is required, a four year degree is preferred.
